This page explains, in plain English, how yarravalleywedding.com.au (“we”, “us”) handles personal information. It is written in the spirit of the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles. It is a notice, not a legal advice letter.
The important sentence for most readers: if you send a celebrant enquiry, you agree that we can share that enquiry with up to three Yarra Valley celebrants, who may then contact you.
Who we are
We publish an independent wedding planning guide for the Yarra Valley. We are not a venue, a government register, a law firm, or the Attorney-General’s Department. Contact: callum.sherwood.seo@gmail.com.
What we collect
When you send a celebrant quote enquiry we collect the fields on that form: wedding date or “not set yet”, ceremony town or venue area, guest-count range, ceremony style, optional budget band, names, email, phone, preferred contact method, message, your consent, the page address you sent from, and any UTM tags on the link. We use a hidden honeypot field to discourage automated spam.
When you send a celebrant partner enquiry we collect your name, optional trading name, email, phone, service areas, message, and your agreement to be contacted about receiving couple enquiries.
When you send the general contact form we collect name, email, topic and message.
When you use the website our hosting and analytics tools may collect ordinary technical data such as pages viewed, approximate location at a city level, and device type. If Vercel Analytics is active, we may also record custom events when you complete a form step or submit a celebrant enquiry. Those events are for understanding the form, not for selling a profile of you.
We do not ask for identity documents, passport numbers, tax file numbers, or a completed Notice of Intended Marriage on this website. Those belong with your celebrant and the official Commonwealth form.
Why we collect it
- to pass a couple enquiry to up to three celebrants who work the Yarra Valley, so they can offer to talk with you
- to reply to celebrants who want to receive those enquiries
- to answer general questions sent through the contact form
- to keep the website working and to understand, in a lightweight way, whether the quote form is usable
We collect this information because you chose to send it, and we share a couple enquiry only because you ticked the consent box on the form. If you would rather not have your details shared, do not send the celebrant form; you can still read every guide on the site, or email us a general question.
Who we share couple enquiries with
We share a celebrant quote enquiry with up to three marriage celebrants who work the Yarra Valley. They may email or phone you using the method you chose. Celebrants may pay us a fee to receive enquiries; that is how this part of the site is funded. They are not our employees. Once they have your details, they handle that personal information in their own practice. We ask them not to pass you to someone else and not to add you to a mailing list unless you ask.
We use FormSubmit to deliver the form by email to callum.sherwood.seo@gmail.com. That provider processes the submission so the email arrives. FormSubmit, our email provider and our website host may store or process data on servers outside Australia, including in the United States. We do not sell or pass your enquiry to anyone other than the up to three celebrants described above, and we do not sell mailing lists.
We may also disclose information if Australian law requires it.
We do not publish your names or your message on the website.
Storage, security and time
Submissions arrive by email and may be stored in ordinary email and working files used to pass the enquiry on. We take reasonable care. Email is not a bank vault. Do not send extra sensitive documents through these forms.
We keep enquiry records long enough to pass them on, answer a follow-up, and handle a complaint. We do not publish a fixed deletion date because a live conversation with a celebrant may run for months around a wedding date. If you want us to delete what we still hold, email us. We will say if we have already passed the enquiry to celebrants — we cannot delete a copy they already have.
Access, correction and complaints
You can ask us what personal information we hold about you, and ask us to correct it. Email callum.sherwood.seo@gmail.com.
If you are not satisfied, you may complain to us first. If we cannot resolve it, the Office of the Australian Information Commissioner (OAIC) handles privacy complaints about Australian organisations. See oaic.gov.au.
Children
These forms are meant for adults planning a marriage or a ceremony. A legal marriage in Australia has its own age rules. Do not send an enquiry on behalf of a child.
Official marriage information
For the Notice of Intended Marriage and the Register of Marriage Celebrants, use the Attorney-General’s Department:
This site’s guides are general information. They are not legal advice.
Changes
If we change how enquiries are shared — for example, the “up to three celebrants” limit — we will update this page. The version you should read is the one linked from the form on the day you send it.
